Prepare the supporting documents for a multiple dwelling building charging station

To apply for financial assistance for a multiple dwelling building charging station under the Roulez vert program, you must submit supporting documents.

Proof of payment

You must submit copies of your invoices and the corresponding proofs of payment.

The following proofs of payment are accepted:

  • a copy of a cheque endorsed by the financial institution;
  • a bank statement;
  • a credit card statement;
  • an electronic notification of deposit.

All the invoices and proofs of payment must be in the applicant’s name.

For example, if the syndicate of co-owners, the owner, or the developer assumes the project’s costs, the reimbursement request must be submitted in the syndicate’s, the owner’s, or the developer’s name. The invoices must all be in the syndicate’s, the owner’s, or the developer’s name otherwise they will have to submit other proofs of payment to prove that they assumed the project’s costs.

Supporting documents concerning eligible expenses

You must append all the invoices corresponding to your project’s eligible expenses:

  • the invoice and proof of payment concerning the eligible charging stations purchased and installed;
  • the long-term leasing agreement covering the charging stations leased and the invoices and proofs of payment concerning the first payments already made;
  • the invoice and the proof of payment concerning the installation of the charging stations and electricity supply infrastructure (material and labour);
  • the invoice and the proof of payment concerning consultation services for the design and planning of the project;
  • the invoice and the proof of payment concerning a device or software to manage the energy consumed.

Other supporting documents

For an applicant who resides in a multiple dwelling building and possesses an electric vehicle:

  • the vehicle identification number (VIN) (no supporting document is required); 
  • the “Service received” document submitted when the vehicle was registered with the Société de l’assurance automobile du Québec (SAAQ). The registration certificate alone is not accepted. 

The extract of the declaration of ownership

The declaration of co-ownership is a notarized document that binds all the co-owners and in which the general rules of communal life and administration of the co-ownership are established.

All this information is not useful to process your application and it is recommended that you submit only an extract of the declaration of co-ownership containing the following information:

  • the address of the building;
  • the number of individual dwelling units.

Any other official document such as proof of insurance that presents this information can also be submitted.

Photographs of the charging stations installed

You must submit photographs of the charging stations installed that must show all the charging stations in respect of which financial assistance is being claimed and the multiple dwelling building and the parking spaces.

Also submit photographs of the new electrical infrastructure such as the transformer and distribution panel, where applicable.

Proof of leasing of a charging station

To receive the lump sum for leasing a charging station, the applicant must submit a copy of the lease, proof of payment for the lease such a copy of a cheque endorsed by the financial institution, or a bank transaction record when the application is submitted.

The lease covering the charging stations must have begun after January 1, 2020.

Information required on the invoices

The invoices submitted must contain certain information.

Invoice for the charging stations

The invoice for your charging stations or leasing contract must include the following information:

  • the name of the applicant and the address of the building;
  • the date of the transaction;
  • the name or corporate name and contact information of the supplier;
  • a detailed description of the items covered by the transaction;
  • the amount of each item covered by the transaction and the total amount of the transaction, including taxes and other applicable fees;
  • in the case of a leasing contract, the monthly payments and the total amount spent at the conclusion of the leasing period.

If you made your purchase online, this information may be found in several documents. Be sure to submit with your reimbursement request all the requisite documents.

Invoice for the installation of the charging stations

The invoice for the installation performed by an electrician must include the following information:

  • the name of the applicant;
  • the address of the building where the work was performed;
  • the date of the installation;
  • the name of the electrical contractor;
  • the contractor’s RBQ licence number;
  • the detailed amount of the installation work and the total amount of the transaction, including taxes and other applicable fees.
